Jephson Gardens Gallery: Exhibition Hanging and Display Policy 

This policy outlines the practical arrangements, safety requirements, and expectations for artists exhibiting at Jephson Gardens Gallery. Due to the building’s listed status, size, and our duty of care to the public and staff, these guidelines must be always followed. 

This policy is subject to change at any time. The Jephson Gardens Gallery Manager(s) and LSA board of trustees reserve the right to make alterations to your exhibition or any of its contents to comply with this policy or address health and safety concerns. 

  1. Exhibition Preparation & Installation
  • Allocated Space: Your hire agreement paperwork specifies your allocated space, including a gallery plan with wall measurements. You are only permitted to hang work within this designated area.
  • Artist Responsibility: You are responsible for ensuring your work is adequately insured whilst on site.
  • The Put-Up Team: The LSA put-up team will assist with your installation. Their final decisions regarding your exhibition must be respected, as they are guided by this policy and LSA directives.

Artwork Requirements: 

  • All framed works and canvases must be wired with D-rings and picture cord before submission.
  • All works must be clearly labelled on the reverse with the title, artist’s name, media used, and artist’s contact details.
  • No copies of other artists’ work are permitted.
  • No wet or damp work is allowed on site. It must be removed immediately if found.
  • Only original artworks, fine art prints (etchings, engravings, linocuts, etc.), giclée prints, digital art, and photographs are permitted to be hung on the walls. All other prints of work must be displayed in agreed browsers.
  • Reproductions of Physical Works (Giclée/Digital Prints):Please note the following applies: 
  • Limited Edition:The print must be a limited edition, clearly numbered and signed by the artist (e.g., 1/50, 2/50, etc.). This demonstrates artistic control and scarcity, adding value. 
  • Archival Quality:The prints must be Giclée or of equivalent archival quality, made with fade-resistant inks and acid-free paper. 

Artist Involvement: The artist should be involved in the creation of the print series, not just the original artwork. 

  1. Hanging and Display Rules:
  • You must not hang work above doorways, in corridors, or from the ceilings.
  • Each wall-hung work must be secured by a pin nail at a 45-degree angle or by a standard metal 1, 2, or 3-pin nail picture hook, in accordance with the size and weight of the work.
  • Larger items or alternative hanging systems must be approved by the Curator and Gallery Manager(s) prior to the day of installation. Any approved equipment must be provided by the artist.
  • Prohibited Items: Adhesive strips, adhesive hooks, plastic hooks, white/blue tack, and double-sided tapes for artworks are strictly prohibited as they have a high risk of failure and can cause damage.
  • Free-Standing Displays:
  • Plinths, tables, stands, browsers, and easels may be used, provided they are secured and appropriate for the size and weight of the displayed item.
  • All displays must be positioned to prevent trip hazards. They may not be placed in doorways, the middle of rooms, or in areas with high foot traffic.
  • You must not overcrowd your space or block access to cupboards, exits, or fire extinguishers.
  • Artists allocated the bay window area must note that their display might be moved each day so the shutters can be secured.
  • Installation Support: You are expected to be present to assist with the hanging of your exhibition. The Curation Team will provide curation guidance, and their  decisions are final. 
  1. During the Exhibition
  • Artist Stewardship: For health and safety reasons, we require a minimum of two stewards on site for the gallery to open. As a volunteer-led organisation, we endeavour to provide a volunteer to support the stewarding of your exhibition, but this is not guaranteed.
  • Volunteer Commitment: To support the gallery, you are expected to add yourself to the gallery volunteers’ rota and commit to a minimum of eight volunteer shifts.
  • Rota Monitoring: You will be given access to the Jephson Gardens Gallery volunteers’ WhatsApp rota and are expected to monitor it for availability. If there are not enough stewards on site, the gallery will remain closed.
  • Sales: We operate a cashless gallery. All payments must be processed using the LSA Zettle machine. Currently a 10% commission fee will be charged on all sales, this may change, and you will be notified of any changes, should this happen.
  • Additional work can be submitted to replace sold works, but the same conditions will apply.
  1. Exhibition Take-Down
  • Take-Down Time: You are required to be present for your take-down day. If this is not possible, you must arrange for someone to do this for you. Your space is allocated to the next artist the following morning.
  • Storage: We do not have suitable storage on site, and all work must be removed from the building on the final day of your exhibition.
  • Safety: Take-down begins prior to our advertised closing time to allow purchases to be collected. Due care and attention must be given to the safety of visitors and staff during this process.
  • Sales Payments: The details of sales made will be provided to our treasurer. Payments, minus commission, will be transferred to you within two weeks of the end of the exhibition.
