Introduction

Leamington Studio Artists (LSA) is a Charitable Incorporated Organisation based in Leamington Spa, UK, dedicated to supporting artists in the area and fostering public interest in the visual arts. 

We provide studio space, organise exhibitions, offer workshops, develop educational programs and workshops.

Information provided to LSA will be processed and held in accordance with the Data Protection Act 2018 and the UK General Data Protection Regulation (GDPR) and all other applicable UK law.

LSA respects your privacy and is committed to being transparent about how we collect and use your data. We only collect information necessary to support our charitable cause and fulfil your requests. 

We never share your information with third parties without your consent and we take stringent measures to protect it from unauthorised access. You have the right to access, rectify, or erase your data at any time. 

Information we collect

We collect personal information from members and supporters and this may include your name, email address, and phone number. Also, as a membership organisation, this will include the amount of your donation, the date of your donation, and the payment method you used. [This is mainly membership or submission fees]

If your work is exhibited in one of our galleries, we will also collect your bank details. This is to allow us to pay you if your work is sold. 

For members, we also store the personal information you provide in your public profile. All members can see, edit, or delete their personal information at any time (except they cannot change their username). Please note that website administrators can also see and edit that information.

If you upload images to the website, ensure you follow the instructions on the membership form. When you make your images available on the website, you are consenting to having them shared publicly via LSA social media channels or in other forms of LSA publicity. 

We collect website usage information and this may include information about the pages you visit on the website, how long you stay on each page, and what links you click. 

Also when visitors leave comments on the website we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

How does the LSA-Artists.org use cookies? We use 1st party cookies with Google Tag Manager, this is an essential cookie that allows us to track the functionality and user experience of the website.

Using your data

We process membership subscriptions and art submissions through the website, and the data collected enables us to send newsletters and information out to our membership as well as analysing our website traffic. We only use the data collected for these purposes and we do not share any data with any third party, unless there is a legal requirement to do so.

We use Mailchimp to send newsletters. This software is GDPR compliant and we do not share data with Mailchimp. 

If you leave a comment on our website, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you have an account on our website, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Data retention

We retain membership data while membership is active and for a reasonable grace period afterward (e.g., for renewal attempts).  Former members’ data is retained for two years and then is deleted or anonymised unless it is needed for legal or historical purposes

User rights

We want you to be completely happy with the ways in which we hold and use your personal data. You always have the right to opt out of newsletter communications or any other method we adopt to contact you.

Members always have the right to login and access their personal data and either update it or delete it. You can always ask the webmaster to also assist you in updating or deleting your data from the website. We are happy to provide information on how and what data is deleted on request.

Collection of sensitive personal information.

Membership of Leamington Studio Artists is open to artists working in visual arts within the area. We want to encourage a diverse membership and therefore wish to collect and analyse some personal data about the characteristics of our members. This includes information on age, gender, ethnic background and disability.

The provision of this information by our members is optional, and where it is provided it will not be attributable to individuals. We are seeking to understand the overall profile of our members, not the characteristics of individuals. 

Security measures

We view our responsibility to safeguard your data with the utmost seriousness, and we take appropriate steps to protect you

Nevertheless cybercrime and data theft are increasingly prevalent and, as such, the Internet is not (and mobile devices are not) a 100% secure medium. 

We cannot therefore guarantee the security of information disclosed to us and want to make you aware of some particular risks when using the internet and mobile devices.

Some links on our website may take you to third party sites, over which we have no control. When linking to another website we encourage you to read the privacy policy stated on that website.

Phishing is a cybercrime in which an individual is targeted and contacted by email, telephone or text message by someone posing as a legitimate institution to lure individuals into providing sensitive data. If you have concerns about any communication that might seem to be a genuine LSA communication, please contact us immediately.
